You will be undertaking this job on behalf of Peabody Housing Trust. All materials should conform to British Standards and works undertaken should act in accordance with all relevant Health and Safety standards. It is expected that works will be completed on a like for like replacement basis if this is not possible please inform Peabody before proceeding with completing works.

Quotes should detail work being undertaken and materials needed. Our minimum requirement to facilitate fast payment for completed works is to provide before, during and after photographs with a description of works and materials used. Failure to provide this will result in non-payment.

The awarded Contractor is accountable for all Resident communication regarding appointments. The Plentific platform should be kept up to date with all appointment information and the status of works prior to completion inclusive of access, variation requests, safeguarding concerns and completions data.

Can all Contractors submitting quotes for work please identify whether you are able to achieve the preferred appointment slots (where identified) by the Resident as this will be a key factor in awarding works. If this cannot be met, your proposed availability should be provided.

Any service level agreements given are from the point in which the works are posted onto Plentific and not the point from which the quote is accepted.


Data Protection

The GDPR (as defined below) requires the Customer to put in place an agreement between the Customer and the Pro governing the Processing of Personal Data in connection with this agreement.  

Save where otherwise set out below, terms defined in the Services Agreement between (1) the Customer and (2) Plentific Limited shall have the same meaning in this agreement.

The Pro will comply with all applicable requirements of the Data Protection Legislation. 

he Pro acknowledges that for the purposes of the Data Protection Legislation, the Customer is the Data Controller and the Pro is the Data Processor. 

The Pro acknowledges that the only Personal Data to be processed in connection with the performance of this agreement is that which is necessary to carry out maintenance work for residents of the Customer (resident contact details, vulnerability, and health and safety information).

In relation to any Personal Data processed in connection with the performance of this agreement the Pro will only:

  • process that Personal Data only on the written instructions of the Customer unless the Pro is required by the laws of any member of the European Union or by the laws of the European Union applicable to the Pro to Process Personal Data (Applicable Laws). Where the Pro is relying on laws of a member of the European Union or European Union law as the basis for Processing Personal Data, the Pro shall promptly notify the Customer of this before performing the processing required by the Applicable Laws unless those Applicable Laws prohibit the Pro from so notifying the Customer;

  • ensure that it has in place appropriate technical and organisational measures to protect against unauthorised or unlawful processing of Personal Data and against accidental loss or destruction of, or damage to, Personal Data, appropriate to the harm that might result from the unauthorised or unlawful Processing or accidental loss, destruction or damage and the nature of the data to be protected, having regard to the state of technological development and the cost of implementing any measures (those measures may include, where appropriate, pseudonymising and encrypting Personal Data, ensuring confidentiality, integrity, availability and resilience of its systems and services, ensuring that availability of and access to Personal Data can be restored in a timely manner after an incident, and regularly assessing and evaluating the effectiveness of the technical and organisational measures adopted by it);

  • ensure that only such of its employees who may be required by it to assist it in meeting its obligations under this agreement shall have access to the Personal Data;

  • ensure that all personnel who have access to and/or process Personal Data are obliged to keep the Personal Data confidential;

  • ensure that only such of its employees who may be required by it to assist it in meeting its obligations under this agreement shall have access to the Personal Data;

  • ensure that all personnel who have access to and/or process Personal Data are obliged to keep the Personal Data confidential;

  • not disclose the Personal Data to a third party in any circumstances other than at the specific written request of the Customer;

  • not use the Personal Data for any purposes other than those detailed above;

  • not transfer any Personal Data outside of the United Kingdom unless the prior written consent of the Customer has been obtained and the following conditions are fulfilled:

(i) the Customer or the Pro has provided appropriate safeguards in relation to the transfer;

(ii) the Data Subject has enforceable rights and effective legal remedies;

(iii) the Pro complies with its obligations under the Data Protection Legislation by providing an adequate level of protection to any Personal Data that is transferred; and

(iv) the Pro complies with reasonable instructions notified to it in advance by the Customer with respect to the processing of the Personal Data;

  • assist the Customer, at the Customer's cost, in responding to any request from a Data Subject and in ensuring compliance with its obligations under the Data Protection Legislation with respect to security, breach notifications, impact assessments and consultations with supervisory authorities or regulators;

  • notify the Customer without undue delay on becoming aware of a Personal Data breach;

  • at the written direction of the Customer, delete or return Personal Data and copies thereof to the Customer on termination of the agreement unless required by the applicable law to store the Personal Data (in the event of no written direction the Pro will delete all Customer data 12 months from the point of last contact with the resident); and

  • maintain complete and accurate records and information to demonstrate its compliance with this clause 1 and allow for audits by the Customer or the Customer's designated auditor.

The Customer does not consent to the Pro appointing any third-party processor of Personal Data under this agreement without the explicit written agreement of the Customer

This agreement shall be governed by and interpreted in accordance with the law of England and Wales.
